Venue Hire Terms & Conditions
Booking & Payment
- A booking is only confirmed on receipt of an email from Fraser Park Events.
- A deposit or full payment may be required to secure the booking date.
- Full payment must be made within 10 days of the invoice date.
- Late payments may incur a fee.
Set-up, Pack-down,
Cleaning & Rubbish
- Basic room set-up, pack-down, and standard cleaning are included in the standard hire fee but not in discounted hire rates.
- Cleaning related to decorations and external catering is the hirer’s responsibility.
- All rubbish from external catering and decorations is the hirer’s responsibility and must be removed from the premises.
- Cleaning requirements and rubbish removal for external catering and decorations will be available in The Hirer Information Pack.
- All equipment and spaces must be left clean and tidy.
- Additional charges may apply for excessive cleaning.
Use of Venue
- The venue may only be used for the purpose stated in the booking confirmation.
- Maximum capacity must not be exceeded.
- All activities must comply with relevant laws, regulations, and licensing requirements.
Audio Visual
(Screen & Projector)
- HDMI cable is provided for connecting your laptop to the system.
- Hirers must ensure their device and settings are compatible with the venue’s audio-visual equipment.
Health & Safety
- All hirers must comply with health and safety regulations.
- Emergency exits must remain clear at all times.
- A venue representative will be on-site or on call during the booking.
- The Health and Safety document will be sent to you with your booking confirmation.
Noise & Time Restrictions
- All events must comply with noise restrictions and curfews.
- Events must finish within the agreed hire period.
- Additional charges may apply for overtime.
Code of Conduct
- All hirers and attendees must behave in a respectful, responsible, and lawful manner.
- Disruptive, abusive, or unsafe behaviour will not be tolerated.
- Breaches may result in immediate termination of the event, removal from the premises, and/or future booking restrictions.
- No refunds will be issued in such cases.
Security &
Lock-up Procedures
- Ensure all doors and windows opened during your event are securely locked.
- Switch off all lights and air conditioning before leaving.
- Ensure all attendees have vacated the building by the agreed finish time.
Cancellation Policy
- Cancellations must be made in writing.
- Deposits are non-refundable for cancellations made within 7 days of the booking date.
- Cancellations made with less than 24 hours’ notice may be fully charged.
- Changes to bookings are subject to availability and approval.
Damage & Liability
- The hirer is responsible for any damage to the venue, furniture, or equipment caused by their attendees.
- Fraser Park Events reserves the right to charge for repairs, replacements, or additional cleaning due to misuse or negligence.
- The hirer may be required to hold appropriate insurance.
Equipment, Decorations
& Add-ons
- Items such as lecterns, tablecloths, and whiteboards are available for hire upon request.
- Decorations must not damage walls, floors, ceilings, or fixtures.
- All decorations and external equipment must be removed by the hirer at the end of the booking.
- No live flames are permitted.
Access & Timings
- Access is limited to the agreed booking times.
- Hirers must allow sufficient time within their booking for set-up and pack-down.
- The hirer may be responsible for securing their booked space at the end of the event.
Alcohol & Catering
Alcohol
- Alcohol may only be purchased and consumed from the bar in accordance with the venue’s liquor licence.
- The hirer is responsible for the behaviour of their attendees.
- The venue reserves the right to end any event where behaviour is unsafe, illegal, or disruptive.
Catering
- The hirer is responsible for all clean-up and rubbish removal related to external catering.
- On-site catering can be arranged upon request.
- The commercial kitchen is available for hire by professional caterers at an hourly rate.
Surface Protection
- No chewing gum is permitted anywhere within the centre.
- If gum is found on the carpet or artificial turf, the hirer may be charged for specialised cleaning.
- No food, drink, or gum is allowed on indoor or outdoor artificial turf surfaces.
- Only non-marking indoor court shoes are permitted on squash courts.
- Dirty or muddy footwear is not permitted inside the venue.
- Cleats or studded footwear are strictly prohibited on all turf surfaces.
Right of Refusal
Fraser Park Events reserves the right to decline or cancel any booking that:
- Is inconsistent with the venue’s purpose or may attract unsafe or disruptive behaviour.
- Promotes controversial or discriminatory content.
- Lacks required documentation (e.g. insurance or licences).
- May bring the venue into disrepute or breach community standards.
- Poses a health or safety risk.
- Involves a hirer who has previously breached these terms and conditions.
